Charter Operator Inquiry Automation

5-Minute Replies. 40% More Closed Leads.

A Seattle-area charter operator was losing roughly half their inquiries to faster competitors. Here's what we built in four weeks — and what it taught us about applying the same playbook to wedding venues.

The Story

What was happening

The owner was personally answering every inquiry — about 30 a week, mostly via email, some via Instagram DM and the website form. Weeknights worked OK; weekends were a disaster. Saturday inquiries often didn't get a reply until late Sunday or Monday morning, by which point the customer had usually moved on to a competitor.

The shape of the response was consistent: warm tone, exact pricing, package PDF, calendar link to book a tour. The owner had the formula down — they just couldn't get it out the door fast enough on the days that mattered.

What we built

An AI assistant trained on:

  • The last six months of the owner's actual replies (tone, structure, signature, escalation rules)
  • The full pricing list, package details, and seasonal availability
  • The owner's "no" rules (what they won't quote without seeing, what dates they hold, what kinds of events they won't take)

The system polls the inbox every minute. New inquiry lands — within ~60 seconds it has a drafted reply waiting for the owner's approval on their phone. Tap to send, tap to edit, tap to skip. Trusted senders (returning planners, repeat customers) auto-send without approval.

What it took to ship

  • Week 1: Audit the existing inbox, classify 6 months of replies, extract the tone + pricing + escalation rules.
  • Week 2: Build the AI inbox loop. Connect to Microsoft 365 (read-only first). Daily QA on drafts the owner never sees.
  • Week 3: Turn on approval mode. Owner reviews every draft for 7 days; we tune from feedback.
  • Week 4: Live. Mobile push approvals, audit log, daily metrics digest. Trusted-sender auto-send rolled out for known planners.

Why this matters for wedding venues

Wedding venues face the same inbox dynamics: high-intent inquiries with short comparison windows, weekend-heavy inquiry volume, an owner who knows exactly what to say but can't get to it fast enough. The same system applies — the only thing that changes is the prompt training data (your packages, your tone, your venue's calendar).

We're now actively onboarding our first wedding-venue clients. If you're a venue owner reading this and the 4-hour reply time hits home, book a free consultation.

I was the bottleneck. The system isn't replacing me — it's letting me actually do the parts of the job I'm good at, instead of typing the same email at 11pm on a Saturday.
